The Broad Ripple Village Association is seeking a part-time Event Coordinator to take a leadership role in organizing our upcoming events, including the Duck Race, Home Tour, Ripple Effect 5K, Lights Up, and monthly Art Walk, among others.

Do you enjoy organizing fun community-oriented events, working with volunteers, and keeping track of all the behind-the-scenes details?

The Event Coordinator is a part-time contract position for events between August and December of this year, with the potential for it to extend further in the future.

Event Coordinator Position Description:

Overview: We are seeking an event and volunteer management professional to take a lead role in organizing and carrying out several Broad Ripple events between August and December 2021.

Compensation: 15 planning hours per week plus on-site presence at each event. Occasional increases in the weekly hours possible based on workload and budget. Pay is $25/hour. This is a contract position through December 17, one week beyond the Lights Up event.

As this is a contract position, the work may be completed from any location on your schedule, so long as events and planning meetings are attended, and agreed-upon deadlines are met.

A. Produce BRVA signature events:

  • Duck Race – August 29
  • Ripple Effect 5K – September 30
  • Lights Up – December 5

B. Provide administrative and communications support for:

  • Art Walk – each Third Thursday from August through November
  • Home Tour – September 18 and 19
  • BRVA Fall Public Meeting – October date TBD
  • Small Business Saturday – November 27

Signature Event Duties (A):

-Work with event chairpersons and committees to plan each event and coordinate its operation

-Coordinate on-site for the duration of each event

-Coordinate event set-up and tear-down

-Assist committee in securing necessary food, beverage, and entertainment vendors

-Assist committee in finding event volunteers; train and manage the volunteers throughout events

-Work with Executive Director (and Marketing Committee where appropriate) to promote each event via email, social media, blogging, advertising, banners, posters, and rack cards

-Obtain necessary permits, COIs, etc.

-Stage the materials needed for each event by accessing the storage unit

-Success metrics: net proceeds, event participation, economic impact, and promotional impact on Broad Ripple and local businesses

BRVA event support duties (B):

-Communicate with participants, organizers, and the public regarding event details

-Assist Executive Director with any marketing & promotional needs of the events, including social media

-Assist in obtaining agreed-upon permits, COIs, etc

-Assist in recruiting and volunteers as needed

-Assist in coordinating with venue and technological needs for the BRVA Fall Public Meeting

-Assist with organizational responsibilities


The Event Coordinator will work with the Event Chair for each event’s organizing committee and the Executive Director to produce successful events. The responsibilities of the Event Chair and Executive Director are listed below:

Event Chair Duties:

  • -Enlist a committee of committed volunteers
  • -Work with Event Manager to plan and hold regular committee planning meetings
  • -Hype up event within the community, engender excitement
  • -Be available for occasional media promotion if desired
  • -Work to secure the necessary event volunteers
  • -Volunteer along with committee at the event
  • -Plan the events’ promotion
  • -Communicate event progress updates to the BOD at monthly meetings

Executive Director Event duties

  • Receive event payables and ensure payment of expenses
  • Coordinate all marketing & communication efforts with Event Manager; assist/execute as needed
  • Provide day-of event support and assistance as needed
  • Answer event inquiries forward to Event Coordinator when needed
  • Continually promote events across the city, formally and informally
  • Assist Event Coordinator in obtaining any permits, COIs, contracts, etc
